Summary

The Pathways & Processes team is responsible for strengthening First Light’s internal operations. Guided by the Strategy Wheel’s focus on organizational effectiveness, the team supports systems, policies, and practices that are culturally grounded, relationally accountable, and designed for long-term sustainability.

The Manager of Systems & Spaces plays a key role in this work by overseeing the internal infrastructure that supports the organization’s day-to-day functioning. This includes HR platforms, digital tools, safety protocols, and physical spaces. Reporting to the Director of Pathways & Processes, the Manager leads a braided team comprising staff in facilities, IT, human resource administration and internal operations.

With a focus on stewardship, accessibility, and relational leadership, the Manager ensures that all internal systems (both physical and digital) reflect First Light’s values and provide a strong foundation for staff and community. This role balances strategy and care, responding to the organization’s everyday needs while also shaping long-term systems for growth and accountability.

This position is well suited to someone who the way we design and build things should reflect who we are and what we value as a community.   • Team leadership grounded in trust and accountability, with experience supporting multidisciplinary teams across areas like HR, facilities, and IT
  • Operational confidence with digital tools and internal systems, including comfort navigating shared platforms, coordinating workflows, and supporting others in their use
  • A relational approach to supervision, rooted in emotional intelligence, clear communication, and shared responsibility

Essential Responsibilities

Team Leadership & Coordination

  • Supervise a braided internal operations team comprising of HR administration, technology, and facilities 
  • Provide day-to-day leadership and support through coaching, performance development, and accountability rooted in clarity, respect, and shared responsibility
  • Model and uphold conflict resolution practices based in empathy and restorative approaches, including circle process where appropriate
  • Cultivate a collaborative team culture grounded in relational leadership, cultural humility, and mutual trust
  • Collaborate with the Director of Pathways & Processes to advance organizational priorities and cross-team initiatives
  • Collaborate with other Managers across First Light to strengthen cross-team relationships and ensure collaboration and consistency in how we work together

Systems & Processes Oversight

  • Lead the oversight and coordination of core internal systems that support day-to-day operations, including HR platforms, digital tools, safety protocols, facilities processes, and shared documentation
  • Support communication, scheduling, and performance development across the team
  • Ensure that tools, workflows, and internal systems are accessible, user-friendly, and aligned with First Light’s values of respect and reciprocity
  • Identify pain-points and implement improvements that increase clarity, consistency, and access across organizational processes
  • Coordinate and maintain cross-team systems for hiring, onboarding, internal communications, policy implementation, and space usage in ways that reflect cultural grounding and relational accountability
  • Develop, update, and organize internal documentation, onboarding materials, and digital resource libraries to support staff orientation and ongoing learning

Facilities & Physical Space Stewardship

  • Ensure First Light’s physical spaces are welcoming, functional, and aligned with accessibility and community needs
  • Oversee facilities maintenance, vendor relationships, and repair coordination
  • Support space planning, reconfiguration, and upgrades based on the identified needs of other teams
  • Support and oversee the implementation of safety protocols, emergency procedures, and harm reduction practices across all First Light locations

Planning, Budgeting & Strategic Support

  • Develop and manage operational budgets related to facilities, tech, and internal systems
  • Support capital planning, infrastructure projects, and development of funding proposals tied to internal operations
  • Support organizational strategy related to internal systems, digital tools, and space stewardship
  • Contribute to long-term planning and priority setting within the Pathways & Processes team

Qualifications

We’re looking for someone who brings both technical competence and relational depth – someone who can lead with care, navigate complexity, and strengthen team culture through trust, accountability, and collaboration. The ideal candidate will have:

  • Education or training in Human Resources, Social Work, Indigenous Studies, Organizational Leadership, or a related field (a certificate, diploma, or degree is an asset but not required)
  • 3-5 years of experience leading or managing multidisciplinary teams, ideally through a trauma-informed and relational lens
  • A leadership style grounded in emotional intelligence, cultural humility, and restorative practices
  • Experience in internal operations, systems oversight, or administrative leadership in relevant areas, such as HR, facilities, or IT
  • Confidence using digital tools such as Google Workspace, Slack, and shared documentation platforms
